Course Sharing allows organizations with a parent–sub-account structure to centrally manage course content and distribute it to selected sub-accounts.
This ensures consistent training content across teams while allowing each sub-account to assign the course to trainees and track its own performance data.
What This Is
Course Sharing allows a parent account to share a course with one or more sub-accounts.
When a course is shared:
The course becomes available in the sub-account’s course library
It appears under All Courses
It is treated as published and ready to assign
Sub-account managers can assign it to trainees using the standard assignment flow
The course content is view-only in the sub-account
All edits remain controlled by the parent account
This works similarly to a read-only Google Doc: teams can use the content, but only the original owner can edit it.
If a sub-account needs to customize the course, they can duplicate it into their own account and edit the copy.
Who This Is For
Course Sharing is designed for organizations managing multiple accounts under a central parent account, such as:
Enterprise organizations with multiple business units
Regional teams managed by a central enablement team
Resellers or partners managing multiple customer accounts
Parent Account: Sharing a Course
Only users with Multi-Company Admin permissions in the parent account can share courses.
Step 1: Open Courses
Go to Home → Courses
Locate the course you want to share
Step 2: Open the Share Option
Hover over the course card
Click the ⋯ (three-dot menu)
Select Share course with accounts (View-Only)
Step 3: Select Sub-Accounts
Choose the sub-accounts that should receive access
Accounts that already have access will appear pre-selected
Add or remove accounts as needed
Step 4: Confirm
Click Save to complete the action.
A confirmation screen will show which accounts now have access.
What Happens When a Course Is Shared
When a course is shared with a sub-account:
The course appears under All Courses
The course is automatically available for assignment
Managers can assign the course or make it available on demand
Availability dates and assignment rules work the same as any other course
The course appears in course filters and search results
Course content is view-only in the sub-account
All required role-play templates and dependencies are automatically included
Any edits made in the parent account automatically apply everywhere the course is shared.
Sub-Account Experience
In sub-accounts, shared courses appear alongside locally created courses.
Managers can:
Assign the course to trainees
Share the assignment via link
View the course overview
Track trainee performance and session activity
Duplicate the course to create an editable copy
Actions Available on Shared Courses
Managers in sub-accounts can still use:
Assign
Share with a link
Course overview
Duplicate (creates an editable version in the child account)
Actions Not Available in Sub-Accounts
The following actions are disabled for shared courses:
Editing the course
Changing the course publish state
Sharing the course with other accounts
Archiving the course
Upgrading the course with AI
Editing Shared Courses
Course editing is fully controlled by the parent account.
Any updates made in the parent account automatically update:
The original course
All sub-accounts where the course is shared
This ensures consistent training content across the organization.
What Happens When a Course Is Unshared
If the parent account removes access to a shared course:
The course is removed from the sub-account
The course can no longer be assigned or accessed
All related training sessions and progress data are hidden for that account
If the same course is shared again with the sub-account, the historical data will be shown again.
FAQ
Can sub-accounts edit shared courses?
No. Shared courses are view-only. To customize the course, you can duplicate it into your account and edit the copy.
Can sub-accounts assign shared courses to trainees?
Yes. Shared courses can be assigned using the normal assignment flow, including availability dates and on-demand assignments.
Can sub-accounts change whether the course is published?
No. Shared courses are automatically treated as published and assignable, and the publish state cannot be changed in the sub-account.
What happens if the parent account edits the course?
All changes automatically apply to every account where the course is shared.
Can shared courses include role plays?
Yes. Any required role-play templates are automatically included so the course functions correctly.
